Keep Client Phone Records Up To Date

When clients give a phone number, TimeZest can automatically update their contact records.

Keep your client phone records up to date

TimeZest can automatically collect your clients’ phone numbers and update their records in your PSA.

We recommend collecting phone numbers for appointment types where you may need to contact your client directly, such as:

  • Phone calls

  • Onsite appointments

  • Remote sessions

  • In-person meetings

To enable this feature:

  1. Navigate to the Appointment Type and open Appointment Type Settings.

  2. Scroll to Scheduling & Availability, then to Best Contact Number.

  3. Select: Ask the client for their best phone number.


Configure How Phone Numbers Are Collected

  1. Navigate to the Appointment Type and open Fields.

  2. Scroll to Contact Preferences.

TimeZest gives you control over when and how to collect phone numbers with these options:

  • Require from end user if not known – Always require the client to enter their phone number if one isn’t already on file.

  • Ask end user if not known – Ask for a phone number if one isn’t known, but make it optional for the client to provide.

  • Never ask – Remove the phone number field entirely so clients won’t see it when scheduling.


Update and Record Contact Numbers

When enabled, TimeZest asks clients what type of number they’re providing (mobile, work, or home) so it can update the correct phone field on the Contact record in your PSA.

The number is also included in the internal note on the ticket — for example:

“John Smith would like to be contacted at home on (212) 123-4567.”

TimeZest automatically checks that a provided number looks valid for your country before updating the contact record, helping prevent bad data. The client’s original input is always included in the ticket note (for example, “Call me on Skype”), so nothing is lost even if it’s not a standard phone number.

Note: ConnectWise stores the old values for fields that TimeZest updates in the audit record for the ticket and contact, so any old values that TimeZest overwrites will still always be available if they're needed for any reason.
