Why TimeZest Matters

TimeZest gives your clients instant control and provides your team extra agility, while preserving professionalism and ensuring visibility across systems.

Faster Booking, Fewer Emails
Clients use a single link to view your real-time availability and book meetings. This eliminates time-consuming email chains and accelerates engagement.

A Polished Client Experience
Clients encounter clear appointment types and descriptions, branded booking pages, automatic Teams or Zoom links, and timely reminders. This demonstrates respect for their time and builds trust.

Coordination Without Chaos
Whether using your Personal Page or Team Page, TimeZest synchronizes with both Outlook and PSA calendars. This ensures your availability is accurate and prevents conflicting bookings.

Keeps Everything in View
Every meeting scheduled via TimeZest is automatically recorded in Outlook and your PSA system. This maintains meeting visibility, supports accountability, and strengthens forecasting, all without relying on tickets.

Using Your Personal Page

TimeZest provides each salesperson or account manager with a personalized scheduling link that works like a self-contained booking hub. When a client accesses the page, they see all available appointment types, such as: Discovery Call, Product Demo, or Quarterly Review, along with live availability to choose the time that suits them.

  • Your Personal Page link can be added to your email signature, CRM outreach, LinkedIn profile, or other channels

  • Appointment descriptions ensure clients understand exactly what each meeting type includes, helping them make informed decisions

  • Once a time is selected, the event is automatically added to your Outlook calendar and synced with your PSA system

  • TimeZest integrates availability from Outlook and PSA calendars to prevent double-booking and scheduling conflicts

Sharing Team Pages

TimeZest makes it easy for clients to access shared availability through Team Pages. This ensures that when a client needs help, they can schedule time with the next available member of your sales or SDR team, even if they don’t know who that person is.

  • Teams can be created directly within TimeZest or synced from your PSA system.

  • Your system administrator chooses the booking allocation method behind the scenes:

    • Round robin assigns appointments evenly across all team members. If the next person is unavailable, TimeZest automatically selects another eligible team member.

    • Maximum availability shows all available slots from every team member. When a client books, TimeZest randomly assigns a member from the available group.

  • TimeZest keeps calendars in sync by integrating with live Outlook and PSA data to prevent double bookings and scheduling errors

Team Pages are ideal for scenarios such as: SDR /BDR outreach, discovery calls, product demos, or any situation where multiple reps might handle meetings.

These pages maintain a polished client experience while simplifying scheduling logistics.

Group Meetings with Panel Scheduling

Empower collaborative conversations by letting clients book meetings with multiple stakeholders in one click.

How It Works

  • Select up to four participants—individuals or teams—in TimeZest

  • TimeZest checks calendars to find times when everyone is available

  • Clients see only the available options and book one slot, sending a single invite to all attendees

Why It Matters

  • Perfect for discovery calls, technical demos, or strategic reviews that require multiple participants

  • Eliminates the hassle of managing multiple calendars and scheduling back-and-forth

  • Enhances professionalism and coordination with a polished, collaborative booking experience

When to Use It

  • Discovery meetings that involve both sales reps and technical experts

  • Product demos featuring sales and engineering team members

  • Executive or account review sessions that require input from multiple departments

Getting Started

  1. Select the needed appointment type in TimeZest

  2. Within the URL Generator, add the required individuals and/or teams (up to four participants)

  3. Share the Panel Scheduling link with clients or include it in outreach

  4. TimeZest finds a suitable time, blocks calendars, and sends invites to all attendees

Simplifying Scheduling into Your Workflow

TimeZest fits smoothly into your existing process, making scheduling easy for both you and your clients.

  • Offer flexibility or focus with the right link
If you want clients to choose from multiple meeting types, such as a Discovery Call, Demo, or QBR, share your Personal Page link. When you need them to schedule a specific type of meeting, such as a Demo, use a Shareable URL tied to that appointment type.

  • Store and share links smartly
Clean up link text so it’s easy to read, phrase it like “Book a Demo Call.” Keep your Personal Page link and commonly used Shareable URLs in CRM templates, email snippets, or browser bookmarks for quick access.

  • Embed links clearly in your outreach
Add links to your email templates, signatures, or LinkedIn messages with calls to action such as “What time suits you best? Schedule here.”

  • Let TimeZest take care of the details
Once a client books, TimeZest automatically adds the event to your Outlook calendar and/ or PSA. If your appointment type triggers further actions like logging a ticket or opportunity, which happens automatically behind the scenes.

This gives you both control and flexibility. Whether you offer full-choice scheduling or specific appointment options, TimeZest ensures clients enjoy a polished experience while your systems stay updated without relying on ticket workflows.

Best Adoption Practices

These tips help your team consistently use TimeZest and deliver a high-quality scheduling experience:

  • Include your Personal Page link in every client-facing interaction, from emails to social messages.

  • Use Team Pages when multiple reps may handle meetings, such as demos or onboarding.

  • Choose Shareable URLs when you want clients to book a specific type of meeting, for example, a 30-minute Technical Deep Dive.

  • Keep your link storage well organized by naming URLs clearly and storing them in templates, snippets, or bookmarks.

  • Use clear, action-oriented link text such as “Schedule QBR Call” to improve clarity and click rates.

  • Leverage Shareable URLs for campaign or bulk emails. TimeZest can automatically log related activities or tickets once a client books, even without using a PSA ticket.
