When a client schedules an appointment with a technician for an online meeting, your technician should expect a confirmation email that includes a link to join the meeting.

If the email the technician receives does not include a link to join the meeting, you’ll want to confirm the email template contains a section for the meeting URL, and the Display Conditions are configured properly for this section.

In the workflow for Appointment Type, verify which email template is sent to the scheduled users after a client schedules an appointment:

You can follow the steps below if your client is also not receiving the Online Meeting URL. Check the Confirmation email template in the Email Settings (see below) to ensure the Online Meeting URL is visible.

Next, check the settings for this email template by going to the Email Settings in the TimeZest portal and clicking on the template.

When viewing the editor for the template, confirm a section with a button to join the online meeting is present. If one is not present, like in the image below, you’ll need to add one. You can learn how to do so here.

It’s a good idea to check the email used for a rescheduled appointment as well.

After confirming a section exists with a button to join the meeting, you’ll need to confirm the Display Conditions are properly configured.

Along the border of the editor, click next to the section with the button to open the settings for the section. In the section for the Display Conditions, confirm the radio button for “Only include this section in the email when:” is selected, and “Online Meeting Technician URL” and “is present” are selected in the dropdown lists, respectively.

Now emails sent to your technicians after an appointment is scheduled will contain links to join the online meeting.
