Customizing the Calendar Invite Subject Line

Learn how to customize the subject line of the calendar invite sent to clients and technicians using the Calendar Subject field in your appointment type settings.

Overview

When TimeZest sends a calendar invite as part of an appointment, the subject line of that invite is what clients and technicians see in their calendar applications. By default, TimeZest populates the subject line automatically, but many MSPs need the ability to tailor that text to match their branding, communicate specific context, or align with how their clients identify appointments.

The Calendar Subject field gives you full control over the subject line of the calendar invite. You can write free-form text, insert dynamic variables, or combine both to produce subject lines that are informative, professional, and consistent with your MSP's communication style.

Note: The Calendar Subject field currently applies to client-facing calendar invites only. The subject line of technician-facing calendar invites is not editable at this time. We plan to add that capability in a future update.

Where to Find the Calendar Subject Field

The Calendar Subject field is located inside your appointment type settings, under the Notifications & Emails section. Its exact location depends on whether your appointment type is configured in Classic Configuration or Workflow mode.

Classic Configuration

  1. Navigate to the appointment type you want to update.

  2. Click Configure next to Notifications & Emails.

  3. In the modal that appears, scroll down to the Calendar Subject field.

  4. Edit the subject line text and use variables as needed (see the Available Variables section below).

  5. Click Save Changes when done.

Workflow Mode

  1. Navigate to the appointment type you want to update.

  2. Open the Send an email to the client action step (or the relevant confirmation email action).

  3. Scroll down to the Calendar Subject field within that action.

  4. Edit the subject line text and use variables as needed.

  5. Save your workflow changes.
