Set up user roles and define their permissions to use TimeZest

Introduction

TimeZest employs role-based access control to manage the permissions assigned to each user within the app. In the Security & Permissions screen, the Roles tab displays the list of available roles that you can assign to your TimeZest users.

Built-in roles

TimeZest comes preloaded with four roles: Administrator, User, Dispatcher, and Finance.

Administrator: The Administrator role has full access to all screens and settings in TimeZest.

User: A user with the User role has limited access to the TimeZest app. These are users who are typically schedulable users but have no need to log into the TimeZest app.

Dispatcher: A Dispatcher role is set up to allow the user to view appointment type settings, view and edit user's TimeZest profile, as well as view and edit all user's appointments in Calendar HQ. There are other permissions enabled so check out the Permissions Matrix to see the complete list.

Finance: The Finance role should be used for users who handle billing-related actions in the TimeZest app. Actions like being able to enable/disable a user from being schedulable (billable license), view and edit the billing information in the Account & Billing screen, and download the scheduling requests export file to run reports for TimeZest usage. There are other permissions enabled so check out the Permissions Matrix to see the complete list.

Professional plan

TimeZest accounts that are on the Professional plan will be able to edit the Dispatcher built-in role and the Finance built-in role.

Advanced plan

TimeZest accounts that are on the Advanced plan will be able to use the Dispatcher built-in role and the Finance built-in role but they cannot be edited.

Free plan

TimeZest accounts that are on the Free plan will only be able to use the Administrator and User roles.

Custom roles

You can create your own Custom roles which allow you to set more specific permissions for the users who will be assigned to this role.

TimeZest accounts that are on the Professional plan will be able create Custom roles.

Accounts that are on the Advanced plan or Free plan will need to upgrade to the Professional plan to be able to create and use Custom roles.

Creating new roles

To create a new role, select the Create new role button, give it a name, and choose whether to create a new role or copy an existing role. Once saved, navigate into each section to enable or disable permissions for that role.

You can then go to the Users tab to assign the role to the users.
